We are leading multi-asset real estate investment firms with headquarter located in NYC. We are looking to hire for a Property Manager to manage our luxury condominium property in Cliffside Park, New Jersey.

Qualifications

Position requires a minimum of 5+ years’ experience as a Community Manager. HOA management experience preferred.

Must have a New Jersey Real Estate License.

Experience with high end residential condo properties a plus; “white glove” service mentality.

Competence in computer skills, keyboard, internet search, math, Microsoft Office Suite, Google Workspace Suite, as well as community software applications.

Participate in training in order to comply with new or existing laws.

Be able to work evenings and weekends if needed, fill-in ad hoc gaps.

Demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.

Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community.

Superior customer service skills including the ability to manage difficult customers and/or situations.

Able to work under pressure, prioritize competing demands and meet deadlines.

For the non-resident manager, ability to travel to properties daily.

Effective problem-solving skills and a strong work ethic.

Enhanced negotiation abilities.

Effectively convey ideas, images and goals to a diverse group of personalities.

Ability to work with minimal supervision

Responsibilities

Include but are not limited to

Owner / Resident and Tenant Relations

· Maintain a positive owner/tenant “white-glove” service attitude.

· Initiate and implement policies/procedures to maintain resident communications, e.g., complaints, service requests, etc.

· Investigate and resolve resident complaints and concerns in a timely and efficient manner.

· Respond to unit owner requests for information and coordination.

Administrative / Office

· Responsible for 24/7 operations of lobby/office, amenity areas, and guest units.

· Maintains records on all aspects of management activity on a daily, weekly, and monthly basis. Submits required reports to corporate offices on a weekly and monthly basis.

· Ensure the premises are ready for new occupants.

· Maintain all statutory required records.

· Ensure compliance with relevant laws and regulations.

· Work closely with Sr Vice President of Asset Management, Controller, Marketing and Sales team, and HOA representatives on various initiatives, reporting needs and programs related to the properties.

· Complete all required paperwork for new owners and, as applicable, any sub-lease tenants.

· Approve and enforce terms Homeowners’ Association by-laws and rules and regulations including any sub-lease agreements.

· Assist in the collection of condo association fees, security deposits, etc.

Safety & Maintenance

· Develop and be prepared to implement emergency action plan.

· Reports all liability and community incidents to the corporate office immediately.

· Physically walk and inspect community on a regular basis; check on vacant units.

· Maintain property and address condo owner complaints.

· For the common areas – completing repairs, contracting landscaping and snow removal companies, etc.

· Schedule, monitor and complete maintenance and repairs timely and cost-effectively.

· Enforce rules of occupancy.

· Create, mentor and manage a cohesive property maintenance team; coordinate maintenance and preventative maintenance schedules.

· Complete any pertinent safety checklists with maintenance staff and maintain proper regulatory paperwork.

· Organize incoming and outgoing inspections and prepare inspection reports.

· Assist in the oversight of capital improvement projects.

· Solicit and analyze bids for maintenance or repair work and coordinate vendor activities for contracted services.

· Maintain security devices; establish and enforce precautionary policies and procedures; respond to emergencies.

· Maintain current certification of insurance for vendors and tenants.

Financial Responsibilities

· Accomplishes financial objectives by assisting in collecting monthly HOA fees and assessments.

· Review, approve and process all accounts payable invoices or statements.

· Work with corporate office (Sr Vice President of Asset Management and Controller) on forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective action.

· Demonstrate ability to understand financial goals, operate asset in owner’s’ best interests.

· Maintain accurate records of all community transactions and submit on timely basis (i.e., unit owner roster, move-in/move-outs, welcoming package for new unit owners).

· Assist corporate office to ensure that all HOA and late fees/check charges are collected, posted and deposited in a timely manner.

· Generate necessary legal action, documents and process in accordance with State and Company guidelines.

· Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.

· Ensure that A/P invoices are properly and timely submitted and processed to the corporate office for payment

· Coordinate annual tax certiorari work.

Personnel Management

· Screen, hire, orient and train new personnel – including full and/or part-time concierge/lobby attendants, porters and handymen.

· Coordinate schedule and assignments for resident services.

· Ensure efficiency of staff through ongoing training, instruction, counseling and leadership.

· Plan weekly/daily office staff schedules and assignments.

· Administer action plans consistently, and on a timely basis with performance problems.

· Employee issues – document appropriately and terminate properly when necessary.

· Provide support to staff to encourage teamwork and lead as an example in creating a harmonious environment.

· Ensure all administrative processes involving personnel are handled on a timely basis (i.e., performance evaluations, salary reviews, time sheets, change of status forms, etc.).

Pay: $85,000.00 – $105,000.00 per year
